The computer center supports operations 24 hours/day, every day.  A workday is divided into 3 shifts of computer operators, each with a shift supervisor.

a.                  0800 to 1700 - 1st Shift (considered the normal working day by most).

b.                  1700 to 0030 - 2nd Shift

c.                  0030 to 0800 - 3rd Shift

Production Control provides customer service Monday through Friday 8am to 5pm.  Jobs that require job setup or tape updates should be submitted prior to 4pm.  Activities that require the assistance of Production Control outside of regular work hours should be pre-arranged.  After hour emergencies are handled by the Shift Supervisor in the computer room

The work Production control does to support clients is time and detail intensive.  Two of the three key parts of the work performed involve communication, usually through e-mail:

·        Receiving work

·        Performing/checking work

·        Responding back that the work is complete or that more information is needed to complete the work

To get the benefits of e-mail, here are some steps we ask everyone follow to make sure the right information reaches the right people at the right time.

1)     Send all requests to the e-mail list:

            BIT DC-PROD.CNTRL.SERV.REQUEST

(Requests will still be accepted through inter-office mail or US mail)

2)     Send all e-mail requests with a ‘read receipt’ requested so that you receive a  confirmation when the e-mail is opened.

3)     Make a note to yourself to call or send another e-mail if you do not receive a confirmation that the work was completed in the time frame required.

4)     Send requests for work with as much lead time as possible so minor issues do not lead to serious results.

For assistance, review the appropriate procedures in this document and send a request for service to BIT Data Center Services as noted above.

The following forms used to request Production Control services may be submitted via E-Mail or Electronic form if a shell document exists.

a.                  BIT Form 195, "Request for Assistance"

b.                  BIT Form 251, "Outside Tape Control"

c.                  BIT Form 252, "Tape Library Request"

d.                  BIT Form 258, "Printer Form Control"

e.                  BIT Form 201, "BIT Job Request"

f.                    BIT Form 202, "Production Control Run Instructions"

g.                  BIT Form 183, "Exception Log"

Central Mail Services makes daily scheduled pickup/delivery runs to offices that utilize the Data Center.  Sealed watertight containers are used to transport materials as necessary.  Production Control also handles the mailing of computer materials to offices outside of the Pierre area.  Upon request, the customer can be notified when a job is ready for pickup or delivery.
